Is FitManager right for your gym?

What FitManager does, which gyms it suits best, where it is not the right tool, and the questions to ask before you switch.

FitManager is gym management software that covers the whole gym in one place: members and memberships, the front door, sales at the desk, the public website, the member portal and apps, messages to members and the numbers at the end of the month. This page helps you decide whether it fits the way your gym works.

What you get

Members and memberships. Member profiles, membership plans with prices and durations, freezes and renewals, recurring subscriptions, CSV import from your old system and per-employee permissions.

The door. Members check in by scanning a QR code with their phone or by tapping an RFID card or key fob on a reader. FitManager Control, a free Windows program on your reception PC, checks every scan against the member's membership and opens the door. You see each entry as it happens, set access rules per location and manage lockers.

Sales. A touch-friendly point of sale for memberships and products, with coupons, gift cards, stock and refunds. In North Macedonia, receipts can print on a fiscal printer straight from the sale. A card terminal at the desk and a self-service kiosk at the entrance can take card payments without staff typing amounts.

Website, portal and apps. Every gym gets a public website with its timetable, plans, blog and contact form, in three themes you can edit in place. Members get a portal with their digital card, visits, payments and news, and can buy plans online through Stripe. Your gym can be listed in the FitManager app, or have its own branded app in the stores.

Schedule and marketing. A weekly class timetable with enrolment and reminders, newsletters, push notifications, email through your own Brevo account and SMS from a prepaid balance.

Numbers. Earnings, expenses, daily shift reports, analytics and a monthly report you can export to PDF and Excel.

Two languages. The dashboard, website, portal and emails work in English and Macedonian, and each person picks their own.

Who it suits best

  • Independent gyms and studios that want one system instead of a spreadsheet, a separate website and a separate door controller.
  • Gyms with more than one location, because every location has its own members, staff, doors and reports, and you switch between them in one click. Pricing is per location, so you pay for exactly what you run.
  • Gyms in North Macedonia, with prices in denars, Macedonian throughout, and fiscal receipts on supported Synergy and David printers.
  • Gyms that want to sell online, through the website and the portal.
  • Owners who want control over staff, with permissions you switch on and off per employee, an activity log and an optional IP allowlist for the dashboard.

When it may not be the right fit

Be sure FitManager covers what you need before you move:

  • Accounting. FitManager records what you earn and spend and exports it, but it is not accounting or payroll software.
  • Calendar sync. The class timetable lives in FitManager and the member portal. It does not sync with Google Calendar or Outlook.
  • Local bank card gateways online. Online payments run through Stripe. Halkbank, NLB and CaSys online gateways are built for a gym on request, not switched on by yourself.
  • Door hardware without a PC. Automated doors, fiscal printers, card terminals and the kiosk all run through FitManager Control on a Windows PC at the gym. QR check-in works without any hardware. See Hardware.

Questions to ask yourself

  1. How many locations do you run, and roughly how many active members per location?
  2. Do you need automated doors now, or is QR check-in at the desk enough to start?
  3. Do you need fiscal receipts from the point of sale?
  4. Do you want members to buy and renew online?
  5. Where is your member list today, and can you export it as a spreadsheet? See Moving from another system.
