What is FitManager?
How FitManager is put together, from the gym dashboard and your public website to the member portal, roles and the modules you can use.
FitManager runs the day-to-day of a gym in one place: members and their memberships, the front desk, the doors, sales, money and the messages you send. This article explains how the pieces fit together, so the rest of the help centre makes sense.
Two sides of FitManager
The gym dashboard is where you and your staff work. You sign in at the FitManager login page and land on the Overview. Everything in the sidebar (members, plans, the till, reports, settings) lives here. See A tour of the dashboard.
Your public side is what members and visitors see:
- Your gym website with your plans, timetable, blog and contact form. It can live at
fitmanager.com/your-gym, on a subdomain, or on your own domain. See Your gym website. - The member portal, where members sign in to see their membership, show their QR code at the door, pay, see their classes and read your news. See The member portal.
- The FitManager app and, if you want one, your own branded app in the app stores. Both open the member portal in an app and add push notifications. See The FitManager app.
Gyms and facilities
FitManager is organised in two levels:
| Level | What it is | What belongs to it |
|---|---|---|
| Gym | Your business and brand | The plan you pay FitManager for, currency and date formats, logo and brand colour, the website and its domains, email sending, API keys |
| Facility | One location of the gym | Members, membership plans, products and sales, doors, attendance, the timetable, lockers, expenses and reports |
Most gyms have one facility. If you run several locations, each one keeps its own members and sales, and you switch between them from the card at the top of the sidebar. See Work with several facilities.
Who can do what
There are three kinds of staff account:
- Gym owner. Sees every facility of the gym and every page, including Settings and Billing.
- Employee. Works only in the facilities they are assigned to, with permissions you switch on or off one by one. See Permissions.
- FitManager support. Our team can help you inside your account when you ask through a support ticket.
Members are not staff. They have their own login to the member portal and never see the dashboard.
What each part does
| Area | What you do there | Start here |
|---|---|---|
| Members | Add, import, edit and search members, their cards and QR codes | Add a member |
| Memberships | Build the plans you sell, assign them, renew and bill monthly | Create a plan |
| Check-in and access | Check members in, run doors and turnstiles, lockers | Check members in |
| Schedule | A weekly timetable of classes your staff enrol members in | Build your timetable |
| Sales and POS | The till, products, gift cards, coupons, fiscal receipts, card terminal, kiosk | Sell at the POS |
| Finances | Earnings, expenses, daily reports, monthly reports, online payments | Earnings |
| Communication | Reminders, email through Brevo, SMS, push, newsletters, website inquiries | Notifications |
| Website and apps | Your website, domain, blog, member portal and apps | Your gym website |
| Staff and security | Employees, permissions, IP allowlist, activity log | Invite an employee |
| Developers | API keys, webhooks, the website API, the AI connector | API keys |
| Plan and billing | Your FitManager plan, add-ons, invoices and gym settings | Choose a plan |
| Support | Tickets and troubleshooting | Open a ticket |
Not every area is in every plan. Pages your plan does not include are hidden from the sidebar. See What is on my plan?
Hardware at the desk
FitManager works in the browser, so there is nothing to install for the dashboard. Doors, turnstiles, the fiscal printer and the card terminal are driven by FitManager Control, a small program that runs on a computer at your gym and talks to the devices for you. See FitManager Control.
