Connect an AI assistant
Let an AI assistant such as Claude or ChatGPT read your gym's members, plans, check-ins, products and statistics through the FitManager MCP connector.
The AI connector lets an AI assistant answer questions about your gym, like "how many members joined this month?" or "who checked in this morning?", using your live FitManager data. It uses MCP (Model Context Protocol), the open standard most assistants use to connect to outside tools. The connector is read-only: an assistant can look things up but cannot add, change or delete anything.
Before you start
- Your plan must include the AI connector.
- You need an AI assistant that supports remote MCP servers, often called "custom connectors" or "MCP servers" in its settings.
- You sign in with your normal FitManager staff account. The assistant gets exactly the permissions you have, nothing more.
Your connector address
The address is shown in the AI connector card on Settings > Integrations > API integration, next to MCP endpoint. It is normally:
https://fitmanager.com/mcp
Connect an assistant
The exact menu names differ between assistants, but the steps are the same:
- In your assistant, open its settings and find connectors, integrations or MCP servers.
- Choose to add a custom or remote connector.
- Give it a name, for example "FitManager", and paste the MCP endpoint address. You do not need an API key or client ID: the assistant registers itself with FitManager automatically.
- Click connect. A FitManager window opens. If you are not signed in, sign in with your staff email and password (and your two-factor code, if you use one).
- A consent page appears titled Authorize followed by the assistant's name, showing which account you are logged in as. Check it is the right account.
- Click Authorize. Click Cancel instead if you did not expect this request.
- You return to your assistant, which now lists the FitManager tools. Ask it a question about your gym to try it.
The consent page is shown in English only.
What the assistant can do
| Tool | What it returns | Needs permission |
|---|---|---|
list_members |
Up to 25 most recent members, optionally filtered by status or a search on name and email | View members |
list_memberships |
Up to 50 of your membership plans | View plans |
list_checkins |
The 25 latest check-ins, optionally for one member | View the activity feed and access points |
list_products |
Up to 50 products, optionally filtered by status | View products |
gym_statistics |
Total and active members, active memberships, number of facilities and this month's paid revenue | View earnings |
If you lack a permission, the assistant gets "You are not authorized to use this tool." for that tool and the others keep working. To give an employee's assistant more or less, change the employee's permissions.
The assistant can make up to 60 requests per minute for each person.
Which gym it sees
A connection always works on one gym: the first active gym linked to the account that authorised it. If you own or work at more than one gym, the assistant sees only that one. Use a separate staff account per gym if you need to connect each.
See and revoke connections
This needs the Manage settings permission. The AI connector card lists every active connection made by anyone at your gym: the application name (or Unnamed application), Authorised by and the person's name, when it was connected, and its scopes.
- Find the connection in the list.
- Click Revoke and confirm.
The assistant loses access immediately. To use it again, connect it from the assistant once more. Removing the connector inside the assistant alone does not cut off access on the FitManager side, so revoke it here too.
When you see "No assistant is connected right now.", nothing has access.
Privacy
Anything the assistant reads, such as member names, emails and check-in times, is sent to the assistant's provider and handled under their terms. Only connect assistants your gym has approved for personal data, and revoke connections you no longer use.
Troubleshooting
"This gym does not have AI connector access enabled."
Your plan does not include the AI connector, or it was removed in a downgrade. Existing connections stop working until it is back.
"No gym is associated with this account."
The account you signed in with is not linked to an active gym, for example a member account or a staff account that was removed. Sign in with your staff account.
The assistant shows the wrong gym
It uses the first gym linked to your account. Revoke the connection and authorise it again with an account that only belongs to the gym you want.
The card says "The AI connector is not included in your plan."
